    Job Description

    • Responsible for front office operations and activities, this includes the switchboard, receiving/forwarding and registration of letters, mails, and pouches.
    • Receiving and attending to all visitors of IRC and directing them to proper offices after enquiry of their appointment.
    • Responsible for the office notice boards, posting of information, clearing old information, proper arrangement.
    • Ensure that all administrative daily usage forms are readily available for staff use in the field office compound.
    • Assisting in posting of job advertisements, receiving and sorting applications. Ensure all applications are organized and cleanly maintained until the closing date of the relevant announcement.
    • Keeping track of the staff timesheets for IRC field office, through a clean and systematic way, in which filing transparency should exist.
    • Assisting in maintaining personnel files. Ensure all relevant documents are filed for field office staff.
    • Assisting in maintaining files for all terminated staff. Ensure that files for all terminated staff in the field office.
    • Assisting in preparation of the rental payment, clearing electricity bill and other relevant facilities related tasks.
    • Preparing of ID cards for new recruited staff and share to KBL with list for preparation.
    • Attend and participate in trainings identified/organized by your supervisor.
    • Follow any new procedures and guidelines designated in circulars from Country Director.
    • To report any violations of the IRC Mandatory Reporting Policies
    • To assist where necessary in undertaking activities that aim to prevent the occurrence of sexual abuse and exploitation of refugees by IRC and other humanitarian workers.
    • Carries out any job relevant duties as assigned by your supervisor.

    Qualifications

    • 1 to 2 years relevant experience with Bachelor Degree in BBA or relevant.
    • Experience in working with international NGOs is preferred
    • Ability to work under pressure.
    • Prior experience working in a multi-cultural environment is an added advantage.
    • Experience and knowledge of recruitment process and practice.
    • Ability to work under administrative and programmatic pressures with detail orientation and professional grace.
    • Written and verbal communication skills, English fluency required. Excellent command of National Languages
    • Communication and reporting skills, Self-motivated, possessing persuasion skills, ability to maintain relationships, and able to work on own initiative.
    • Computer skills (including MS Word, Excel, Access, and internet) an advantage.
    • Ability to work closely, professionally, and constructively with all others regardless of nationality, ethnicity, gender, religion, race, tribe, or cultural background
